Quotes & Rate Cards

Rate cards let you store your standard pricing by lane, and the quote calculator uses them to price a new quote automatically instead of you working it out by hand. By the end of this page you can set up a priced lane, price a customer request in seconds, send the quote, and know exactly what to do once the customer says yes.

Set up your pricing with rate cards

A rate card (on the Rate Cards page) is a priced lane: an origin city, a destination city, a transport mode, and a weight band, together with a price.

Scenario: you run Casablanca → Tangier FTL loads every week at a standard price. Put that price in a rate card once, and every future quote on that lane prices itself.

To add or edit a rate card, you set:

• Identity — a name, origin city, destination city, and mode (FTL, LTL, Parcel, Air, Ocean, Rail, or Intermodal).
• Weight band — a minimum and maximum weight (in kg) that this rate applies to.
• Pricing — a base rate, an optional per-kilometer rate, a fuel surcharge percentage, and a currency.
• Validity — an optional valid-from and valid-until date, and an active/inactive toggle.

Caution

Only rate cards marked active, within their validity window, are used by the quote calculator. If a card has quietly expired, the calculator will report “no match” on a lane you’re sure you priced — check the card’s validity dates first.

Tip

If a rate card’s valid-until date has passed, the Rate Cards table highlights it in amber. Scan for amber rows periodically — each one is a lane you can no longer auto-price until you renew it.

Price a request with the quote calculator

Scenario: a customer calls asking what you’d charge for 8 tonnes, Casablanca to Tangier. Instead of working it out by hand, let the calculator look it up while they’re still on the phone.

On the Quotes page, when you’re creating or editing a quote:

1. Set the quote’s Mode field — the calculator takes the transport mode from there.
2. In the Calculate section, enter the origin city, destination city, and weight (kg), and optionally a distance (km).
3. Select Apply.

Logistall searches your active, in-date rate cards for one that matches the origin city, destination city, and mode exactly, and whose weight band covers the weight you entered. City names are matched without regard to accent or case, so “Casablanca” and “casablanca” match the same way. If more than one rate card matches, Logistall prefers the one with the tightest (smallest) weight band, then the lowest base rate.

When a match is found, the calculator:

• Fills in the quote’s base rate — including the per-kilometer rate multiplied by the distance you entered, if any.
• Fills in the fuel surcharge, calculated as the rate card’s fuel percentage of the base rate.
• Shows you which rate card it matched, so you can sanity-check the price against the lane.

The quote’s total is then the base rate plus fuel surcharge plus any accessorial charges you add, computed automatically as you edit those fields.

If no rate card matches, the calculator tells you so and leaves the pricing fields for you to fill in by hand — you can still send the quote, it just isn’t auto-priced.

Note

Spelling matters (accents and case aside): the match on origin and destination city is exact. If the calculator can’t find a lane you know you have, compare the city names on the quote against the rate card — “Casa” won’t match “Casablanca”.

Tip

The per-kilometer part of the price only applies if you enter a distance. If your rate card has a per-km rate, don’t skip the distance field — otherwise the calculator prices the lane on the base rate alone.

Converting quotes

Quotes move through a status of their own: draft → sent → accepted (or rejected / expired).

Scenario: the customer emails back — they’ll take the quote. Here’s the full path from “yes” to a booked load:

1. On the Quotes page, update the quote’s status to accepted.
2. Create the shipment yourself on the Shipments page, using the same customer, route, mode, and pricing you agreed in the quote.
3. When the time comes to bill, create the invoice the same way on the Invoices page.

Note

Logistall does not currently turn an accepted quote into a shipment or invoice automatically — there’s no one-click “convert” action. The shipment and invoice are records you create, carrying the quote’s terms over yourself.

Tip

Keep the quote number in the shipment’s customer reference or notes — it’s the simplest way to trace a shipment back to the original quote when questions come up later.
