Data Admin & Viewer

Data Admin and Viewer don’t have workflows of their own — each is a different cut of the flows already documented on the other pages, not a new set of steps. This page tells you which pages to read and where the edges of each role sit.

Everything on the Dispatcher and Accountant pages applies to you, including create/edit/delete everywhere and expense Approve/Reject — the two roles combined, with no read-only limits. In practice that makes you the widest operational role in the company:

  1. Run the dispatcher’s day — book shipments, plan routes and load plans, manage the fleet (Dispatcher).
  2. Run the accountant’s day — invoices, payments, carrier bills, and the margin view (Accountant).
  3. Create and price quotes — quote creation sits with owners and data admins, not dispatchers (Quotes & Rate Cards).
  4. Clear the expense queue — Approve and Reject buttons appear on pending rows for you, just as they do for the owner (Finance).

What you don’t get is staff management, role editing, company settings, or API keys; those stay with the Company Owner.

You have read-only access across the operational pages — shipments, customers, quotes, fleet, routes, documents, invoices — with no create, edit, or delete anywhere. You don’t see the finance margin page or any admin pages. This role is useful for auditors and other read-only stakeholders who need visibility without the ability to change anything.

Scenario: an external auditor needs to verify that delivered shipments match their paperwork. With a Viewer account they can open shipments and their tracking timelines, cross-check the Documents library, and read invoices — but every Add, Edit, and Delete button simply isn’t there, so nothing can be changed by accident.
