Company Owner workflows
As Company Owner, you run the company’s whole Logistall account. You have every operational and finance page other roles have, plus the admin pages nobody else does — Users, Roles, My Organization, API Keys, and Billing. Your day-to-day is lighter than a dispatcher’s or accountant’s: most of your work is front-loaded into setup, and after that it settles into a rhythm of approvals, access changes, and the occasional configuration decision.
Your first days: set up the company
Section titled “Your first days: set up the company”Do these once, in order, before the rest of the team arrives:
- Sign in for the first time with the temporary password from your welcome email — Logistall immediately shows a Change Password screen and won’t let you into the app until you set a new one (Getting Started).
- Fill in your company profile on My Organization — legal identifiers, contact details, address, and a few operational stats — organized into Legal, Profile, Contact, and Address groups; select Edit to update them (Organization Settings).
- While you’re there, review the same page’s Security section: this is where you enable two-factor authentication for your own account, and where you’ll find Log Retention, a setting for how long audit logs are kept that only the Company Owner can see (Organization Settings).
- Look over the Features page and decide which optional modules your company actually uses — Scheduling, Load Planning, Rate Cards, API Access, and the rest. Turning a module off hides its pages from everyone’s sidebar; by default only your role can toggle them (Organization Settings).
Build your team
Section titled “Build your team”- On Users, select Invite, enter the person’s name and email, and pick a role; Logistall creates the account and shows you a one-time temporary password in a banner — copy it and hand it to them yourself, since it’s shown only this once (Users & Roles).
- The new person signs in with that temporary password and is forced to choose their own before they can do anything else.
- Point each person at their own workflow page so they know where to start: Dispatcher, Accountant, or Driver.
Scenario: you’ve hired a second dispatcher for the night shift. Invite them from Users with the Dispatcher role, hand over the temporary password, and send them the Dispatcher page. Before their first shift, use the sidebar’s View as picker to preview the app as a Dispatcher yourself — you’ll see exactly the sidebar and buttons they’ll get, so there are no surprises on day one.
Tailor access
Section titled “Tailor access”- The Roles page lists the six built-in roles plus any custom ones your company has added, each defined by a permission matrix; if none of the built-ins fit, select Clone on an existing role to open a pre-filled form and adjust it into a new custom role (Users & Roles).
- When one person needs an exception rather than a whole new role, select Permissions on their row in the Users table and set individual permissions to Allow or Deny on top of whatever their role already grants.
- Use the sidebar’s View as picker to preview the app under any role’s permissions, or select View As on a user’s row in the Users table to preview as that specific person, overrides included. Either way, a banner stays pinned to the page while the preview is active, with an Exit button to return to your own view (Users & Roles).
Recurring rhythms
Section titled “Recurring rhythms”Once the company is set up, these are the things that come back to you on a cycle:
- Approve driver expenses. Office staff record trip costs — tolls, fuel, and similar — on the Expenses page; every new expense starts at pending status no matter what’s entered. Approve and Reject buttons appear directly on pending rows for you (and Data Admins); once approved, an expense can later be marked reimbursed from its edit drawer (Finance).
- Read the maintenance digest. Once a day, Logistall emails you a digest of every maintenance record due within the next 14 days — nothing to configure, it runs on its own. Use it to nudge your dispatcher about anything that shouldn’t slip (Fleet).
- Price incoming work. Creating quotes sits with you (or a Data Admin) — dispatchers see quotes read-only. Keep your rate cards current so the quote calculator keeps doing the pricing for you (Quotes & Rate Cards).
Connect other systems
Section titled “Connect other systems”- On the API Keys page, create a key; the
lk_…secret is shown only once — copy and store it safely before you navigate away. - Manage webhook subscriptions on the same page to push shipment events out to your own systems (FAQ).
The API Keys page only appears when the API Access feature module is switched on for your company (Organization Settings).
Billing
Section titled “Billing”The Billing page is a read-only view of your company’s plan and subscription — there’s nothing to configure here.
Outside your role
Section titled “Outside your role”Creating additional companies or tenants isn’t something you do from inside Logistall — that’s a platform-operator function, handled outside the tenant app you use day to day.
